Working with XEN Create

What's different about your service versus Upwork, Fiverr, and other Design subscriptions?
Finding good designers isn’t difficult, but working with them can be. It depends on where you are in your business requirements.
For example, we used to use designers from Upwork, Fiverr and some of the popular design subscription sites. They were excellent in our initial years.
But then we found we needed rapid response on urgent items eg we discovered wording on an image that needed to be updated immediately. We found there was a delay with the designers we were using - sometimes they wouldn’t respond until the next day (sometimes not for days at a time), and then in other cases we need to log tickets, and then find our new ticket was queued behind a task currently in progress and would wait, etc, etc.
At that point we started hiring full time designers for ourselves. We had entered a new stage of our business.
If you can relate to this, then perhaps we’re a fit for you.
We’ve taken that same responsiveness that we needed for our own business, and started making it available to clients as well.
(And of course, if you don’t need the rapid turnaround, then you’re probably fine with Upwork, fiverr, etc)

Our company has multiple brands - do you include this in your subscription?
It depends. If you have a main brand which is the main focus, and then some micro-sites or complimentary brands, then we can likely include this in the subscription coverage.
However, if you have completely separate brands, with different teams of people we need to interact with, it will likely require a separate subscription.
Feel free to chat with us about your specific situation - every client is different - and we’ll tailor a package for you.

I'm an agency, can I use you for my clients?
Theoretically yes, if you are happy with us chatting directly with them.
But otherwise, probably not. Our approach doesn’t suit a white label engagement.
Note: if using the subscription option we would require a different subscription per client.

We already have a design team in-house, can you help with overflow work?
Yes, for larger companies who already have an internal design team, we can be a complement to your team during busy periods - a common example is if preparing for a trade show or conference and needing help preparing booth collateral, sales collateral and email follow up series.

When do you charge/invoice me?
We require payment upfront via credit card. We provide a link to a Stripe checkout page to securely process your card.
For our On-Demand customers we send you a link to pre-purchase a minimum of 4 hours. You can purchase additional blocks at once (eg an extra 16 hours) if easier for your accounts.
For Subscription customers we send you a link to purchase a recurring subscription. You can pause/cancel this from recurring at any time.

Am I locked into a contract?
For the Design Subscription, the agreement is month to month - no lock-ins, cancel any time.
This ensures that there’s no risk on either side (you can cancel if you don’t think you are getting value, and we can cancel if we don’t think we’re a fit for you going forward).

What is an outcome?
An outcome is a deliverable for your business eg build a landing page, or designing a slide deck, or designing a brochure, or creating some social media posts, etc.
We avoid using the work 'task' because usually an outcome requires a number of 'tasks' (eg multiple images for a landing page, combined with laying out the page, etc).

What does up to 8 outcomes mean?
With our Subscription option we aim to cover all your graphic design needs each month.
Most of our clients have medium volume needs, around 2 outcomes per week. An outcome might be some social media posts, or an ebook, or a landing page, or an email series, or a slide deck, etc.
In terms of the capacity or hours (if you wanted to think like that) consider how much you would expect if you hired a full time senior graphic designer in your company. That’s a good indication of what we provide each month for our clients.

How many outcomes do I need?
Every business is different, however as a general guide we've found that mid sized companies typically need 6-8 key design outcomes each month (some months are busies, some are quieter, but overall it's a good average).

Why don't you offer unlimited tasks like other design services do?
One of the misunderstandings with 'unlimited' design services is that it's not unlimited items, it's actually just unlimited requests.
And when you actually start using them you find out that they usually only work on one task at a time. And they don't start the next one till the current one is finished. And they don't start the next one till the next day.
At the end of it all you might be lucky to get 2 to 3 tasks done per week... hardly the 'unlimited' tasks you were expecting.

Do you have other subscription tiers? eg if 8 outcomes is too many or too few?
Yes, we've just added additional subscription tiers: up to 3 outcomes for low volume requirements, and up to 20+ outcomes for larger companies and scaling startups.

How many outcomes do you work on at once?
Short version: all of them at once
Long version:
We like to focus on business imperatives with you. And then work on the associated outcomes in a batch approach.
Here's an example: let's say you have a trade show or conference coming up, and you are sending a few of your sales and marketing team along.
You'll likely have sales collateral (slide decks, brochures, business cards, trade show booth) as well as marketing items (email series, landing pages, social updates, ad banners, explainer video) that are all needed for the conference.
We'll work on all of these outcomes with you at once, because:

What is your turnaround time on outcomes?
Our goal is to be as responsive as possible. With similar turnaround times to if you had a full time designer in your team.
Having said that, the turnaround time will depend on the outcome we’re delivering.
Some examples:

Tweaks to an existing social media image - as soon as possible (within an hour or two - during business hours)

Prepare a social media image - a few hours (ie we aim for same day response if requested in the morning)

Preparing a slide deck - usually take a few days

Preparing an ebook - usually takes days to weeks (depending on length and complexity)

Preparing assets for a conference - this can take a few weeks for all the assets to be prepared (brochures, booth decoration, etc)

What if I only want videos (and no other design outcomes)?
So far our clients have wanted a mix of graphic design and only one or two videos each month.
However, we've noticed an increasing interest in building out video assets (including a mix of formats from short LinkedIn videos, through to full YouTube episode videos).
If you're interested in just a video focussed subscription, we're open to it. Please contact us and let's chat through further - perhaps we can make it work for both of us.

Do you do brand strategy?
Short answer: it depends... on what you mean by 'brand strategy'...
For mid-large companies, brand strategy involves research into how you will position your brand in the market, including product-market fit, competitive analysis, and how your current visual elements (logo, colours, collateral, site, emails) all communicate this vision.
We don't do this.
Instead we recommend a company such as Brand Chemistry to develop this with you (we know their founder and highly recommend them).
However, for smaller businesses, you may just need help developing a logo, brand colours, fonts and imagery guidelines (often referred to as a style guide).
We can definitely help you with this.
For example, take this site you are viewing now - we (of course) designed our own logo, colours, fonts, styles, brand imagery etc.

Do you use stock images?
As a general rule: No.
Everything we create uses original images created either by us or AI tools (eg such as Midjourney). The rights to these images are transferred to you as part of our engagement.
The only time we’ll use stock images is if specifically requested by you (eg you have existing images you’d like us to continue to use in designs).

What does $1,000 per page mean (for web site projects)?
For website projects we charge a simple flat rate per page.
(We used to have a detailed calculator that factored in the difficulty of pages eg a Home page is more complex than a Contact Us page, but based on our experience over the years we found the projects usually averaged out to around $1000 per page.)
This means you can easily calculate your likely price, for example:

a simple one-pager site for a small business: $1000

a simple 5 page microsite for a brand: $5,000

a medium size business website with approximately 15 pages: $15,000

a larger corporate site with 60+ pages: $60,000
Note: we don't charge for the basic 'admin' pages eg Privacy policy, Terms of service, Legals, Disclaimers, 404 Error page, etc. We'll include as many of those as you need free of charge. If it doesn't need any design, we include free of charge.

How long does a website project take?
As a general guide, for a well defined project (ie we've been through the planning stage with you and know the site goals, number of pages and site architecture) we estimate:

1 business day per page
For example, a 7 page microsite would take:

ie overall 12 business days for us to implement in HubSpot.
And then it's over to you to provide feedback, tweak content, approve, etc - all of which is usually outside our control (eg if it takes you 4 weeks to review internally and approve, that's out of our hands).
Every project is different of course, and some sites are more complex than others. We'll advise early if we think the above general guidelines won't be reliable for your project.

What HubSpot theme do you use for website design?
Every site we build is built using the CLEAN theme. We use this exclusively.
As well as being the top selling theme in the HubSpot Marketplace, it is also the most flexible and (importantly) the most enjoyable to use.
We've been building sites in HubSpot since 2017, and since 2020 we've switched to only using CLEAN theme. Our team know it back to front and are incredibly quick to build with it.

Can I include a web page as an outcome in a Design subscription?
Yes, each page will count as an outcome.
But wait, I hear you ask, does that mean that I could use a Design subscription to build my website (and get 8 outcomes each month) and save versus doing it as a project?
Yes, that's correct - and may be a good fit for you if you are able to focus on the page content and providing feedback within the month.
Typically we find that website projects take a number of months due to internal approvals, change requests, etc (as opposed to the implementation time from our side).
For example, we've had simple 12 page small business websites take 4 months to complete due to internal approvals and final content tweaks from the client - doing this via the subscription option wouldn't have been a good experience for them.
Pick the option that best suits your business processes.
Tip: if you have both website outcomes and design outcomes though - the subscription option is likely best!

What size websites do you build?
As a general guide, we're a good fit for websites up to around 70 or so pages.
Anything bigger than that and you're probably looking for a different kind of agency - someone who focusses on large corporate sites.
The reason we're not a fit is because those larger projects usually require a significant level of project management, account management, stakeholder, change and rollout management - which we're not ideal for.
Whereas projects below that size are usually managed with a marketing department, which is much more of a fit with our team.
